As the admin lead for Concordia Security, Jennifer Gillana has played a key role in successfully managing a team of 700 security personnel.
In 2017, Jennifer was transferred to the security department from the MEP department, where she had been working for seven years.
It was an unsettling change as her roles and duties were entirely different from what she was accustomed to. But she wholeheartedly took on the challenge of the role. With her determination and hard work, she has not only been able to successfully carry out her tasks, but has exceeded expectations.
Jennifer's role involves coordination and multiple stakeholder management. Through her organisational skills, she has been successful in ensuring adherence to authority guidelines and regulations, as well as avoiding penalties. Timely deliverables also form a key part of Jennifer’s KPls.
Security personnel are expected to maintain an updated SIRA license at all times to be able to conduct their jobs effectively. She developed a unique tracking mechanism to keep track of updating the SIRA licenses of all security personnel on time. This has helped Concordia accrue time and revenue savings, but also ensured overall personnel management which led to improved morale within team members.
Also, she initiated a system of grouping security staff into different teams headed by a supervisor, in order to make tasks easier to manage, resulting in accurate and timely submission of required reports.
As an admin, she makes sure that proper systems training and assistance is accorded to supervisors for them to successfully carry out duties assigned to them. This has helped boost security supervisors’ confidence in using Concordia’s systems and helped in their professional growth.
Communication being a very important aspect of teamwork, Jennifer has made sure all lines of communication are open within the department.
Considering that the majority of the workforce play a crucial part on site with limited access to communication, it becomes imperative to ensure that the communication is recorded in a timely and accurate manner.
Jennifer always ensures that there are no queries left unattended, no unread e-mails and all required assistance extended to every staff.
Her conflict resolution skills have contributed to enhanced team work. Clients, on numerous occasions, have appreciated the security team for demonstrating teamwork and great customer service when resolving issues on site.
Jennifer often goes beyond the call of duty by ensuring her availability to her team members throughout the day.
With her cordial approach to staff, there has also been significant improvement in absenteeism rate and employee attrition rate, thereby saving the company thousands of dirhams in manpower planning and administration.
As a true asset for Concordia, Jennifer has set the right precedence for team spirit and commitment to the job.
